Mail scanning procedures
We only open and scan your mail when you want us to. We ensure that your privacy is always at the top of agenda. Below are the steps we take when scanning your mail.

Staff procedures
All staff are required to fill out clearance forms and adhere to our privacy statements. We constantly monitor our staff, we now record their activities via web cam. Staff have been trained to open and scan mail in a way that will prevent snooping of your documents.

Scanning software
The scanning system only shows a thumbnail of the scanned image, however it has been designed to only show the alignment and size of the image, it is impossible for our staff to read the image once it has been scanned.

PDF upload
Your PDF will be deleted from our scanning machines and transferred to our server via SSL connection. Once the transfer is complete, our system will check the PDF belongs to your account via an encrypted code that we use to identify the PDF.

PDF Viewing
We choose not to email the scanned PDF to you as this is far too insecure, your PDF is downloadable via our SSL connection. Once the PDF is downloaded you can delete the record from our server.

We do everything in our power to ensure your information is safe.

Added Security
Just to make sure we hold no record of your mail, we run a full clean every month, thus ensuring all blank spots on our hard drives have been wiped. This method is used by government agencies to prevent the recall of deleted files.
