1. Account Holder Responsibilities

As the account holder, you agree to:

  1. Compliance

    • Comply with these Terms and Conditions and our Privacy Notice when using our services.

  2. Mutual Trust

    • Use our address responsibly and safely.

    • Trust us to handle your mail and sensitive information with discretion and confidentiality.

  3. Mail Responsibility

    • Always be responsible for items sent to your Private Box.

    • Use the address provided correctly; a mail search fee may apply for incomplete addresses.

  4. Mail Handling

    • We may open your mail when scanning, receiving, or sending parcels, or when we cannot identify the recipient.

    • Mistakes may occasionally occur; we do our best to avoid them.

    • Under New Zealand law, suspicious packages may be opened and reported to authorities.

  5. Mail Orders and Disposal

    • Request forwarding or destruction of mail carefully; destroyed mail cannot be recovered.

    • Disposal of parcels may incur additional charges.

  6. Import/Export Responsibilities

    • Comply with import/export restrictions and pay any applicable fees (customs, tariffs, taxes).

  7. Identity Verification

    • Complete identity verification as required.

  8. Payment Requirements

    • Maintain a valid payment method for subscriptions and charges.

    • Accounts will be suspended or closed for non-payment. Mail may still arrive, but services will be limited.

    • Non-payment beyond one month may lead to account closure and disposal of parcels after 7 days.

  9. Contact & Liability

    • Contact Private Box in writing for issues; allow 20 working days for resolution.

    • All items are held “at owner’s risk.”

    • Lost or damaged mail must be reported within specified periods (7–90 days depending on service).

  10. Account Closure

    • Action online or provide written permission.

    • Scanned mail will be destroyed; unopened mail returned.

    • Refunds incur transaction fees ($2 online, $15 bank transfer).

  11. Prohibited Use & Age

    • No misleading, improper, or illegal activity.

    • Personal mailboxes are for personal use only; business mail requires a business mailbox.

    • Must be at least 18 years old.

  12. High-Value Items & Account Administrators

    • Insurance applies to items over $2,000 NZD sent internationally (1.08% of value; $15 for Economy Plus).

    • Adding Account Administrators requires identity verification.


2. Private Box Limited Responsibilities

We agree to:

  1. Operate a secure physical and digital service to protect mail and personal information.

  2. Handle mail with care, following the Privacy Act 1993 and our Privacy Notice.

  3. Provide accurate details for incoming items, including sender, type, weight, and parcel dimensions.

  4. Challenge suppliers to offer lower prices.

  5. Identify recipients; return or dispose of items if ownership cannot be determined.

  6. Comply with Anti-Money Laundering and Countering Financing of Terrorism obligations, including customer risk profiling and reporting suspicious activity.

  7. Report wrongdoing to authorities.

  8. Explore improvements for customer benefit.

  9. Limit our responsibility to providing a service; we are not liable for content of received mail.

  10. Reserve the right to offer, suspend, or discontinue services at our discretion.


3. Companies

This section applies to members with a registered company at one of our addresses:

  1. Business mailboxes are required for company postal addresses.

  2. Registered Office service is provided in good faith; failure to comply with Companies Act 1993 may result in suspension or cancellation.

  3. Company documents stored digitally; originals destroyed.

    • Access to digital records after account closure incurs a $25 administration fee.

  4. Directors and shareholders must provide identity verification within 30 days.

  5. Services are not provided for the following industries:

    • Adult entertainment, gambling, financial services (discretionary), misleading invoices, MLM, political parties, religious cults, or businesses that could reflect poorly on others using the same address.

  6. A $500 fee applies upon receipt of court documents/statutory demands; $400 refunded if contact made within 48 hours.

  7. Costs for obtaining company ownership evidence will be passed to the customer plus $15 admin fee.


4. Trusts

This section applies to trusts receiving mail at Private Box:

  1. AML obligations require identification of all trustees via Trust Deed or certified copy (or intermediary lawyer).

  2. Must identify all beneficial owners and effective controllers to satisfy the Anti-Money Laundering and Countering Financing of Terrorism Act 2009.

  3. Business mailboxes are required for trust operations at our addresses.
